Duties

Serve as primary administrative support for the School and Center Program in Penn’s Office of Development and Alumni Relations – a program which collectively manages thirteen development and alumni relations programs at schools and centers across the University of Pennsylvania. Provide direct support to the Associate Vice President, the Director of Development for Arts and Culture and the Associate Director of Planning and Analysis around various aspects of the day-to-day operation of this program as well as supporting the program’s broader partnerships, projects and strategies.

Under limited supervision, will need to exercise judgment, initiative, discretion and analysis in carrying out administrative and clerical duties. Will handle complex and highly confidential materials. Must have the ability to meet deadlines in a goal-oriented environment. Responsible for managing two complex schedules which maintain regular contact with programs and partnerships though meetings, calls, and emails with schools/centers, senior DAR officers, senior University administrators, employment candidates from outside the University, and occasionally donors and prospects. Provide assistance for the Arts and Culture program by helping with the Arts at Homecoming Host Committee, events at Homecoming and Alumni Weekends and curating a monthly newsletter.

Qualifications

HS or equivalent. Bachelor’s degree preferred. 5-7 years of related experience preferred. Excellent organizational, communication/writing, interpersonal and technical skills. Must be capable of discretion in handling and responding to confidential management and personnel matters. Thorough and comprehensive knowledge of office procedures, practices and methods. Strong proficiency with Word, Excel, PowerPoint, Publisher, Outlook and internet navigation.
